1. Your projects and your time
Start with what you have today. Not the dream — the real thing.
Your businesses and projects
Write 1 on each line: the name, then what it is.
Example: “Big Al’s Tacos — a food truck.” Then on the next line: “Big Al’s Catering — food for parties and work events.”
Where does your time go in a normal week?
Example: “Monday to Friday I cut hair, 9 to 5. At night I answer messages and book chairs. Sundays I buy supplies.”
3. Who it is for and what repeats
Who is each project for? Say it in your own words.
Say it like you would tell a friend. Not like an ad. Write 1 line for each project if you can.
Example: “Busy moms near my town who want a clean house but have no time.”
What is the 1 job that repeats? What steps does it go through?
It can be 1 job, 1 client, 1 day of work, or 1 order. Name it. Then list the steps in order, 1 on each line.
Example: “One client week. Monday: I send the plan. Wednesday: I check in. Friday: a video call, and we set up next week.”
4. How you keep track of things
How do you keep track of your clients or customers right now?
An app, a notebook, your phone, or just your head. Write what is true.
Example: “A notebook in the truck, and the contacts in my phone. That’s it.”
How do you keep track of the money right now? Where do you keep that record?
Example: “Square shows my card sales. Cash goes in a notebook. My cousin does my taxes from both.”
Who else works in the business? What does each person do?
“Just me” is a fine answer.
Example: “Maria runs the jobs. Two part-time cleaners help on Fridays. I do the books and hold the keys.”
5. Where things live
Your folder will not move any of this. It just needs to know where things are.
Which folders on your computer hold your business files? What are they called?
Example: “One folder called ‘Coaching Stuff.’ Inside it are client folders and a folder of videos.”
Do you use any tools that were made just for you — or changed just for you? An AI may have made them.
“None” is a fine answer.
Example: “None. I just use Square and Instagram.”
Where else do business notes or papers end up?
Email drafts, notes on your phone, paper, photos of pages, a board on the wall — any place at all.
Example: “Voice notes on my phone, and sticky notes on my desk.”
8. A few more questions
Answer the ones that fit you. Skip the rest. Skipping is an answer too.
If you use more than 1 AI: which 1 should read your folder and do the work?
The rest can help it, or stop being used. Tell us which way you want it.
Example: “ChatGPT. Claude can stay as a helper for long posts.”
If people work with you: what can they decide on their own, with no need to ask you?
Example: “Maria can move a job time if a client asks. She cannot give a discount, and she cannot hire anyone.”
If something got lost in a chat: what was it, as best you can say?
The words, the plan, the choice — any small bit helps us build it again.
Example: “The exact words of my welcome note for new clients. I had it just right.”
If 2 copies of the same thing do not match, which place has the right 1?
Example: “The menu on my truck. If the one online is not the same, the truck wins.”
Do client names or facts about clients ever go into your AI chats?
Or should they stay out until you say yes?
Example: “First names are fine. No phone numbers. No home addresses.”
9. The choices that stay yours
These are choices an AI must never make without you. We save them in your folder word for word. When a job hits 1 of them, the AI stops and asks you.
Which choices are yours alone?
Write 1 on each line. Think of prices, promises to customers, dates, and spending money.
Example: “Change a price. Promise a clean date. Give a discount. Hire or fire anyone.” (1 on each line.)
10. About you and your business
Last part. Your name and email are how we send you your folder and give you access to it. Do not skip those 2.
What is the business? Say it in 1 or 2 short lines, in your own words.
Example: “I cut and color hair in a small studio. Most clients find me on Instagram.”
How is the business set up on paper right now?
If you filed with the state and got an LLC, pick “LLC.” If you never filed anything, pick “Nothing set up yet.”
— pick 1, or leave blank —
Nothing set up yet
Sole proprietor (I run it in my own name)
LLC
Other (a company, a partnership…)
Not sure
Want your prices in the folder? List them here.
You can skip this. If you skip it, prices are marked “not known.” No one will guess them.
Example: “Tacos $4 each. Plates $13. Catering starts at $15 per person.”
How do you sound when you talk to customers?
Plain? Friendly? Funny? Serious? Say it your way.
Example: “Warm and short. Lots of emojis. Like a friend, not a shop.”
Words or lines you would never say
Example: “‘Cheap.’ And never ‘spotless, we promise.’”
Who gets to say yes to what?
Think of prices, posts, spending, and promises to customers.
Example: “I say yes to all prices and posts. My helper can reply to comments on her own.”
In 90 days, what does the business look like if this works?
Example: “Two catering jobs a month, and I stop typing my menu into chats.”
Got it — your folder is being built.
Your answers are in. Here is what happens next:
1. Your folder — your brain — is built from your answers. One folder for each project.
A file with your choices. A file with your voice. And a map that shows where everything lives right now.
Anything blank is marked UNKNOWN. We never make up facts to fill a gap.
2. You get the folder as a zip file. It is yours. It is also put in a private home online,
under the email you signed up with. Any AI tool you use can read it from there.
3. From now on, everything we build for you is built from that folder — not from notes all over the place.
If you saved a copy of your answers just now, keep that file as your backup.
